Holland America Group is currently searching for a highly motivated (part-time) Executive Secretary I who will provide support for the Risk Advisory and Assurance Services (RAAS) team. RAAS works with finance and operations personnel, onboard our ships and in our land-based locations, reviewing the organization’s processes and procedures to assess the design and effectiveness of controls with consideration of best practices.

Maintenance of audit shipboard schedule, including booking shipboard visits, coordinating between maritime/non-maritime, arranging visas.
Making travel arrangements & producing travel itineraries including flights, transfers, and hotels.
Booking meetings (including liaising with other admins to free up time)
Booking meeting rooms and facilitating video/conference calls
Coordinating with other parties to ensure appropriate access, logistics, facilities, IT, etc. in place for successful onboarding of new hires and /or contractors
Administrative support including but not limited to: assistance with IT requests, emails, telephones, organizational charts, correspondence, presentation preparation, arranging visitor passes, ordering/picking up catering, ordering/maintenance of office supplies, copying, scanning, filing, archiving, maintenance of records in line with data retention policies, organizing or assisting with team events.
Checking and processing invoices.
Prior Administrative Assistant experience
Good organizational skills
Demonstrated ability to create and deliver multiple concurrent projects
Very good ability to articulate both written and oral communication
Highly proficient in all Microsoft Office applications, such as Word, Excel, PowerPoint, Access and other web-based applications
